Files

Docu | base › Files

One folder in Docu per customer, supplier, project, employee and property – created automatically from Sales, Finance, HR and QMS, with subfolders according to the filing plan.

Step by step

  1. Open a customer in Sales, a partner or a project in Finance: the file appears at the bottom with subfolders and documents.
  2. Upload files directly into the file or choose “Open in Docu”.
  3. Docu › Files lists all files you may see, grouped by kind; narrow it with “Search dossiers by name” and “Source”; the section “Dossiers recently opened here” appears above.

Filing plans

Docu | base › Files › Filing plans

Defines which subfolders a new file gets (customers, suppliers, projects, employees, properties), with a default type per subfolder and ready-made industry plans.

Step by step

  1. Switch each plan on or off and name the parent folder.
  2. Enter subfolders line by line, optionally “Name | document type”.
  3. On the right, apply an industry plan (trust and accounting, construction, hospitality, medical practice).

Contract deadlines

Docu › Contract deadlines

All contracts with an end date at a glance: notice deadline, automatic renewal and recorded terminations, with email reminders.

Step by step

  1. Record documents of type Contract with contract end, notice period (e.g. “3 months”) and renewal (e.g. “12 months”).
  2. Under Docu › Contracts, filter by status, e.g. “Notice due soon”.
  3. On the document, “Record termination” with the date sent and the effective date.

Archive

Docu | base › Archive

Shows the retention periods of all archived documents from HR, Finance, QMS and Docu: what ends within 90 days, what may be deleted, what is on hold and where the period is still waiting for an event. Here deletions are requested and approved under the four-eyes principle, deletion holds are set and the verifiable export is downloaded.

Step by step

  1. Open “Archive” and review the entries with an ended period under “Deletable (period ended)”.
  2. For an entry open “Request deletion”, give a reason and submit.
  3. A second person with the permission to approve archive deletions approves the request under “Open deletion requests” or rejects it with a reason.
  4. In case of litigation or a tax audit, set a new hold under “Deletion holds” for the entire archive or for companies, classes and financial years.
  5. Under “Evidence” review the checks and use “Download export” to create the ZIP for the auditors.

Procedure documentation

Docu | base › Archive › Procedure documentation

The description of electronic archiving required by Art. 4 GeBüV (Ordinance on Accounting Records). Document details and part A are prefilled with editable proposals containing companies, the responsible person, the next version and today’s date. Saved texts are retained. The operator provides part B (system and operation). Every version is archived as a PDF with its period of validity.

Step by step

  1. Under “Archive”, open “Procedure documentation”.
  2. Expand the collapsed sections, review the proposals and adjust them if needed. Labels show “Proposal”, “Saved” or “Adjusted”; open placeholders are flagged. “Reset to proposal” restores the section’s proposal.
  3. Without an earlier version, choose “Accept proposal and archive”: the displayed texts are archived with effect from today. Otherwise set “Valid from” and choose “Archive new version”.
  4. Download earlier versions as PDF on the right under “Versions”.

Before year-end closing

Docu | base › Archive › Check before year-end

Checks whether the archive for a financial year is complete (receipts per month, books, closing, VAT, payroll, procedure documentation, check run, anchoring), checks PDFs for PDF/A and creates time-limited access for accountants and auditors.

Step by step

  1. Choose financial year and company, then “Check”.
  2. Resolve items marked “missing” or “check”.
  3. Optionally start the PDF/A check.
  4. Create access for the auditors and pass the address on securely.

Correct filing details after archiving

Docu | base › Open document › Correct details after archiving

Archived documents retain their file and versions. With document editing permission and « Manage Docu » permission for both the current and selected company, fields, document type, company and folder can be corrected with a reason. Field history records before and after values, person, time and the full reason; the archive receives an additional record.

Step by step

  1. Select the fields, document type, company and folder. When changing type, complete the required fields of the new type.
  2. Enter a reason of up to 500 characters and choose « Record correction ».
  3. Review the change and its reason in the document’s field history.

Export

Docu | base › More › Export

Starting point for audits and handover: downloads the archive package with evidence for the auditors or the continuation package with Docu metadata. These are the same exports as in the archive.

Step by step

  1. In the Docu menu, open “Export” under “More”.
  2. For the auditors, select “Download export”: a ZIP with all files, inventory, log and evidence; an enclosed verification program checks integrity without KMU | base.
  3. To carry on without KMU | base, select “Download continuation package”: all documents with archive, hash chain, Docu metadata (types, fields, folders, collections) and verification scripts.
