  2. Click a figure to open the correspondingly filtered list.
  3. Start a new document with “New quote”, “New invoice” or “New order”.
  4. Open a document under “Recent documents”.

Invoice and quote overview

Finance › Sales › Invoices or quotes

The overview shows all statuses and origins for the company. Indicators are independent of filters and separated by document currency. Total and outstanding balance have separate columns.

Step by step

  1. Choose the company and, if needed, the credit note tab.
  2. Filter by status, customer, text and document date or due date. Sort using column headings; share the URL.
  3. Select documents or open row actions and confirm changes.
  4. Open bank reconciliation or reminders. A bank hint indicates an open transaction with matching reference and currency.

Pro forma invoice

Finance | base › Pro forma invoices

Not a payment request / no accounting effect.

Step by step

  1. Open Sales › Invoices › Pro forma and choose New pro forma invoice.
  2. Enter the customer, items, VAT and currency. Issue the draft and send it by email/PDF.
  3. Choose Convert to invoice. The customer, items and terms are copied; the pro forma is marked converted.

New document

Finance | base › Invoices (or the relevant document type) › New invoice

Creates a new document as a draft: “New quote”, “New order”, “New invoice”, “New delivery note” or “New picking list”. Customer, details, texts and lines are entered in one form; totals including VAT are calculated as you go.

Step by step

  1. Open a document type and choose the button at the top right, or “New quote” / “New invoice” on the customer page.
  2. In the field “Search customer (company, town, e-mail)”, find and choose the customer. If the customer does not exist yet, enter them directly in the document with name, address and email; they are saved and applied.
  3. Under “Details”, check the date, title, language, currency and price type; defaults come from the customer.
  4. Under “Items”, enter the lines, for example with “Choose item”.
  5. “Save” saves the draft; “Preview PDF” shows the PDF of the last saved version.
  6. “Issue” assigns the number and locks the document; “Issue and send” also sends it.

View and process a document

Finance | base › Invoices › click a number

Shows a document: a draft is edited in the editor, an issued document shows its lines, “Payments”, “Sending log”, “Customer portal” and “Linked documents”. On the right are the “Actions” for the document type and status.

Step by step

  1. Open the list for the document type and click a number.
  2. For a draft, change the details and choose “Issue”; for an issued document, open the “PDF”.
  3. Use “Send” to email the document to the customer, now or at a scheduled time. Before sending, you see the subject and text of the standard email and can take over the text to edit it.
  4. For quotes, “Record acceptance or rejection”, then for example “Convert to order” or “Convert to invoice”.
  5. For invoices, choose “Record payment”, “Credit note” or “Send reminder”.
  6. For orders, use “Partial invoice”, “Deposit invoice” or “Create final invoice”.

Document actions and sending channels

Finance | base

Send, PDF, record payment and reminder are grouped above the document details. Send opens email, post, PEPPOL and eBill. Unconfigured channels and channels without a required customer address are disabled with a reason and a link.

Step by step

  1. Open the document and choose an action. Complete missing details through the link. For an incomplete address in an issued document, use the existing correction process.

VAT status in the document editor

Finance | base › Sales › Document editor and Finance › VAT

When the company is not VAT registered, the editor shows a notice and a status link. The rate selector is hidden and items are saved without VAT.

Step by step

  1. After accounting setup, open “Set VAT status”.
  2. Explicitly save the status and its effective date, including when the company is not VAT registered.
  3. Check the editor notice before issuing.

Check payment details before sending

Finance

Sending and scheduling check the frozen payment method, currency and required tax note. Free-form bank details and PayPal work without an IBAN.

Step by step

  1. Check missing details; correct an issued document using the existing correction procedure.

Cover letters for Finance delivery

Finance | base › Sales › Invoices (or Quotes, Dunning) › Open document › Send

Invoices, quotations, credit notes and individual reminders can include an editable cover letter. Email and post send one combined PDF; Word contains a separate letter.

Step by step

  1. Select with cover letter and review all four fields.
  2. Optionally suggest AI text, review it and explicitly use the suggestion. A message explains fallback to a template.
  3. Send now or schedule delivery, download the combined PDF or the Word letter; select the same option for configured postal delivery.

Finance | base › Sales › Delivery notes › Picking slips

The editor shows the customer, date, title, reference, responsible person and lines without prices. Language, currency, template, service period and terms are hidden.

Step by step

  1. Open a new picking slip and choose the customer.
  2. Enter the date, items and quantities, then save.

Commissions

Finance | base › Sales › More › Commissions

Step by step

  1. Choose the payment period and click “Show”.
  2. Under “Set commission rate”, choose the person and the rate in % and click “Save rate”.
  3. The list shows invoices, net basis, rate and commission per person; the total is at the top.

E-invoicing and shop

Finance | base › E-invoicing and shop

Step by step

  1. In the “Outgoing” or “Incoming” tab, choose an e-invoice and expand the audit trail.
  2. In the “Channels” tab, enter address, API key and own ID per channel and activate the channel.
  3. Register the webhook address with the provider.
  4. In the “Shops” tab, connect a shop, choose the directions and run “Sync now”.

Step by step

  1. Open “Recharge to customer” on the source or use the expenses list.
  2. Choose a customer in the same company, markup in percent or CHF, article/text and VAT code, then confirm.
  3. The recharge status links to the target document; AI can list outstanding expenses.

No rounding or round up to 5, 10, 15, 30 or 60 minutes; optional minimum per grouped invoice item.

Step by step

  1. Open the project and save rounding and minimum time.
  2. Group by person, day or total and invoice.

Fixed discount and rounding

Finance | base › Fixed discount and rounding

Line and document discounts can be percentages or fixed amounts. Optional CHF 0.05 rounding appears separately.

Step by step

  1. Enter either a percentage or fixed discount in document currency at each level.
  2. Partial and final invoices carry fixed discounts proportionally.
  3. Enable rounding in company sales settings.

Volume and interval prices

Finance | base › Volume and interval prices

Prices are proposed by customer, quantity and interval, then recalculated when saving. Month, quarter and year can have their own prices.

Step by step

  1. Enter optional monthly, quarterly and yearly item prices.
  2. Select item, quantity and interval; the reached volume threshold appears.
  3. In a series, selecting an item proposes the price for the chosen interval.

Step by step

  1. Select company and date range.
  2. Group by item, customer, month, quarter or year.
  3. Optionally filter currency and download CSV.

Foreign currency: exchange rate and CHF equivalent

Finance | base › Sales › Edit document or document details

Foreign currency documents carry an exchange rate in CHF per currency unit. Issuing freezes the exchange rate, rate date, rate source and CHF equivalent rounded to cents.

Step by step

  1. Choose the document currency and date. The editor displays the SNB monthly average for the available reference month.
  2. Leave the rate blank to use the suggestion or enter a custom rate and date. If no rate is available, a manual rate is required before issuing.
  3. Issue the document. Details and PDF show the frozen CHF equivalent; payments also show an equivalent at the document rate.
  4. Credit notes use the invoice rate. Copies, conversions and partial or final invoices receive a new suggestion for the new date.

Fixed and manual exchange rates

Finance | base › Sales › Settings / Document › Record payment

Fixed EUR and USD rates can be defined for each company. The rate remains editable in drafts; automatic, fixed and manual show its source. Issuing a document freezes the rate. Accounting converts to CHF at the document rate. The actual CHF receipt or bank rate posts the exchange gain or loss to account 6960.

Step by step

  1. Enter a fixed CHF rate per EUR or USD unit in sales settings; leave empty for the SNB monthly average.
  2. Review and if needed overwrite the proposed rate in the document draft.
  3. Enter the payment amount in the document currency and optionally the actual CHF receipt or bank exchange rate.

Quote, order confirmation and invoice

Finance | base › Sales › Quotes; Settings › Sales

Finance | base connects quotes to order confirmations and full, partial, down-payment or final invoices, including without a Sales subscription. Per company, you can automatically create a confirmation on acceptance and optionally issue it immediately. Both settings are off by default.

Step by step

  1. In the document payments, choose “Reverse payment”, enter a reason and confirm. New payments must be positive. Correct bank payments, online payments and offsets through their original process. Previously used credit prevents reversal.
  2. Create and issue the quote, then record acceptance internally or let the customer accept online.
  3. Enable automatic confirmations in the company’s sales settings if required. Without immediate issue, a draft is created.
  4. With a Sales subscription and both deal reading and editing rights, link the quote to an existing deal or create a deal from the quote.
  5. After rejection, expiry or cancellation, create a new quote version from the deal. The predecessor remains linked.
  6. Filter by Sent or Viewed. The Rejected tile shows amounts and counts per currency.

Limit credit notes to the invoice amount

/[mandant]/finance/verkauf/rechnungen

Drafts count towards the limit. Repeating the same external shop return ID does not create a second credit note.

Step by step

  1. Drafts count towards the limit. Repeating the same external shop return ID does not create a second credit note.

Recurring invoices & subscriptions

Create series from recurring positions

Finance | base › Create series from recurring positions

One series is created per interval with these positions. One-off positions remain in the document. Series create drafts without automatic sending.

Step by step

  1. Create series from recurring positions
  2. Start date
  3. Create series

Series prices, placeholders and item frequency

Series prices, placeholders and item frequency

Change series prices from articles and customer prices or a percentage preview; add period text, a free period and one-off items.

Step by step

  1. Open the series, compare old and new prices in the preview, apply and save.
  2. Use {{monat}}, {{jahr}}, {{periode}}, {{periodeVon}}, {{periodeBis}}, {{quartal}} in title or text; check the preview.
  3. Set the free-until date, one-off items and optional monthly, quarterly or yearly frequency.

Prorate individual item cycles

Finance | base › Sales › Series

Monthly, quarterly and yearly item cycles use calendar days for partial starts or ends. Full cycles remain fully charged; partial lines are labelled as prorated and show a unit price rounded to cents.

Step by step

  1. Open the series and choose the position’s cycle (month, quarter, year).
  2. Set the start and, if needed, the end of the series.
  3. The preview shows partial cycles as a «pro rata» line with a unit price rounded to the cent.

Recurring invoices

Finance | base › Recurring invoices

Sets up recurring invoices or orders, for example subscriptions, rent or maintenance. Exactly one document is created per period, either issued and sent automatically or as a draft for review.

Step by step

  1. Choose “New recurring invoice”, then set “Customer” and “Document type”.
  2. Set “Interval”, “Start” and “Billing”.
  3. Under “Lines per period”, enter items or free lines.
  4. Tick “Issue and send automatically” for the document to be handled without intervention; otherwise a draft is created.
  5. Save; the series shows the documents it has generated.
  6. “Pause” and “Resume” control the run; “Invoice due periods now” invoices straight away.
  7. Under “Recurring invoices”, open an invoice and expand “Change package”.

Change package

Finance | base › Recurring invoices › Change package

Changes a recurring invoice package with a daily pro rata difference preview and a linked successor. A negative amount creates a credit note, a positive amount an additional charge.

Step by step

  1. Under “Recurring invoices”, open an invoice and expand “Change package”.
  2. Enter the effective date and new items at the price per period; choose whether to issue the difference document or keep it as a draft.
  3. Choose “Show difference” and review the remaining days, items and difference; refresh the preview after every change.
  4. Run “Change package” and open the new recurring invoice or difference document from the result.
  5. If the change is incomplete, choose “Resume change”; the saved request remains unchanged.

End date when switching plans

Finance | base › Recurring invoices

The successor series retains the end date, lead time, due date rule and remaining cycles.

Step by step

  1. Switch plans from the desired date.
  2. Check the successor series’ end date and next period.

Resume a series change after an error

Finance

A new series change saves the difference for future periods already invoiced as well. After an error, the successor remains stopped until completion.

Step by step

  1. Repeat the change on the original series. The saved calculation resumes even without an idempotency key.

Subscriptions and payment links

Finance | base › Subscriptions and payment links

Shows customers’ subscriptions and manages plans, payment links and promo codes. Subscriptions can be changed or cancelled internally.

Step by step

  1. In the “Plans” tab, create a plan with items, interval, trial days and seats.
  2. In the “Payment links” tab, create a link for a one-off purchase or a plan and copy it.
  3. Optionally choose “Show in the storefront” or create a promo code.
  4. In the “Subscriptions” tab, expand a subscription to change plan or seats or to cancel it.
