Late payment interest on reminders

Late payment interest on reminders

Optional interest per company from the first formal reminder, in addition to the separate reminder fee.

Step by step

  1. Enable interest in sales settings and check the annual rate.
  2. Create an individual or batch reminder; the PDF and email show amount, rate and days.

Locked periods and VAT closing

Finance | base › Sales › Document › Record payment; Finance | base › VAT

Payments, credit notes, returns, dunning fees and bank reconciliation check the same locks as the journal before saving. If the date falls in a locked month or a closed financial year, nothing is saved and the first open date is proposed.

Step by step

  1. Record the payment as usual.
  2. If a locked period is reported, choose «Post on <date>» or have the period unlocked first.
  3. With net tax rates, check the list of postings with effective turnover codes and correct the codes.

Payments received

Finance | base › Payments received

Shows the latest payments, unallocated credits from bank files and the latest imports. With “Import bank file” you import a file and allocate open payments to an invoice.

Step by step

  1. Under “Import bank file”, choose the file (camt.054 or camt.053) and click “Import”.
  2. Payments with a QR or RF reference are allocated to the invoice automatically.
  3. Under “Unmatched credits”, choose the “Invoice” for each payment and click “Match”.
  4. Check the result under “Latest payments received” and “Latest bank files”.
  5. At the top right, download the lists as CSV with “Receivables CSV” and “Payments received CSV”.

Retry a payment confirmation

Finance | base › Settings › Finance settings › Sales and invoices

Retry confirmed failures without recording a new payment.

Step by step

  1. Review pending confirmations.
  2. Choose «Send confirmation again» for a confirmed failure.

Check every statement row

Finance | base › Settings › Finance settings › Sales and invoices › Account statement

A CSV containing invalid rows is rejected in full; no rows are silently lost.

Step by step

  1. Upload the file.
  2. Correct invalid rows and upload the file again.

Dunning

Finance | base › Dunning

Shows the company’s due invoices with their status and the proposed next level (“Payment reminder”, “1st reminder”, “2nd reminder”). You send reminders one by one or for all proposals at once with the dunning run.

Step by step

  1. Open dunning and check the list of due invoices.
  2. For each row, look at the status, proposal, deadline and fee.
  3. Create and send a single reminder with “Remind” and confirm the question.
  4. To handle all proposals at once, start the dunning run and confirm.
  5. After the dunning run, the overview shows separately how many reminders were created and how many were delivered; resend an undelivered reminder or send it by post.

Details in reminder PDFs

Finance › Sales › Reminders

Reminder PDFs inherit the tax note, terms, footer and transfer reference from the issued invoice. Payment details and document currency are retained.

Step by step

  1. Create the reminder and check the PDF before sending.

Reminders, bank reconciliation and company selection

Finance | base › Reminders, Purchasing and bank, Settings

Before an individual reminder or reminder run, the preview shows the stage, outstanding amount, additional fee, deadline and email recipient. Feedback remains above the list. Tasks count only reminder stages currently available. Bank reconciliation shows proposed documents and partners; offset accounts are selected from the active chart of accounts. Feedback includes the entry number when a journal entry is directly linked.

Step by step

  1. Open and review the preview before sending reminders.
  2. Review documents, partners and amounts or select an offset account.
  3. Explanations and links connect receipts, reconciliation and bank accounts. Existing entry points remain available.
  4. On phones, payables with approval actions appear as cards. Navigation tabs wrap.
  5. The company at the top applies to documents and stock; Finance remembers the selection. The selector appears only for multiple accessible companies. Empty lists may depend on that selection.

Customer credit after an overpayment

Finance | base › Sales › Document

For CHF payments, only the outstanding receivable is credited to the debtor account. Depending on the setting, the surplus is posted as customer credit or refund liability (2030), or tip revenue (3400). Customer credit is also visible on paid invoices. The payment dialog confirms the excess amount and the applied rule. Credit is also shown in the customer list and customer card.

Step by step

  1. Check the payment rule.
  2. View credit on the invoice or customer card.
