Setup

HR | base › Settings › Company settings › Setup

At the top, the setup checklist of all apps with progress and next step; below, the automatic check: it shows, based on the account data, what is still missing or contradictory before going live: company addresses, contract type of departments, job titles and job descriptions, role addresses, form links, LMV minimum wages, working time models and public holiday calendar, holiday entitlements, line managers, users and roles, email delivery and the status of two-factor sign-in. The check changes nothing.

Step by step

  1. Open Settings and choose the “Setup” section.
  2. In the checklist, open “Next step” per app or, under “Show all steps”, mark items as done, postpone or skip them.
  3. Bring back hidden checklists here or directly on the start page with “Show again”.
  4. In the automatic check, deal with “Missing” items first, then “To check”; “Fix” takes you straight to the item concerned, e.g. the department without a contract type.

Add your first employee with the short form

Setup checklist › Employees

From the setup checklist, first enter first name, last name, actual start date and employment percentage. Company, personnel number and other defaults stay prefilled; expand further details as needed.

Step by step

  1. Enter the actual start date, including for existing employees.
  2. Check contractual defaults under “Further details” and save the employee.

Your employee record for time tracking and absences

My onboarding and company setup: your employee record is the first step; a compact reminder appears on every app home page and for new starters.

After registration, people with permission to create employee records can link their account to their own employee record.

Step by step

  1. Time tracking, absences, payroll, the employee app, your manager role and approvals use your own employee record. Link your account to a record first.
  2. Open Register myself as an employee / link to my account.
  3. Choose a new record, review and edit the account details, company, today’s start date and 100% employment. Create and link the record.
  4. Alternatively choose an existing person: only unassigned people in the same tenant and permitted data scope appear. A matching normalised email is suggested first and preselected. Confirm the selection.

HR settings

HR | base › Settings › HR settings

Shows all settings of the HR app in one place: staff and contracts (email addresses, form links, managers, job titles, contract header, CLA minimum wages, regulations, info texts, document templates), time and absences (time tracking, terminals and badges, absence policies, holiday entitlements), payroll, applications and data (data import, deletion periods). On the right it explains where settings for a single person, the whole company and yourself are.

Step by step

  1. In the sidebar, under “Settings”, click “HR settings”.
  2. Choose the item you need, e.g. “Terminals and badges”.
  3. Settings for a single person (app access, badge, PIN, clocking profile) are changed in their personnel file under “Access and clocking”.
  4. Company-wide items (users and roles, subscription, email sending) are under “Company settings”.

Organisation: departments and job titles

HR | base › Settings › HR settings › Organisation

Shows the departments per company with contract type, management, number of people and job titles. Here you create and rename departments, change the contract type, set the management and maintain job titles as a list (male and female).

Step by step

  1. Open settings and choose “Organisation”.
  2. New department: enter name, company (or all) and contract type, then “Create department”.
  3. Expand a department to change name, company and contract type, set the management and add or remove job titles.
  4. Save each part.

Terms: LMV (national collective agreement)

HR | base › Settings › HR settings › Organisation

Choose “Construction (LMV)” if the national collective agreement (LMV) for the main construction trade applies in this department; the contract type determines the proposed contract terms and working time models.

Step by step

  1. Choose the LMV wage class only for people in the main construction trade.
  2. Leave it on “None” for everyone else.

Base role “No base role”

HR | base › Settings › Users and roles

With the base role “No base role”, an account only gets sign-in and the start page. All further rights come exclusively from the ticked roles, for example for document capture only or bookkeeping.

Step by step

  1. Open Users and roles and select the account or click “Create user”.
  2. Under “Base role”, choose the option “No base role (assigned roles only)”.
  3. Tick the required roles under “Other roles”.
  4. Save the roles or create the account; the detail view shows the effective rights.

Public holidays by company canton

Time tracking › Settings

New time models use the company canton with “According to company”. Without a canton or a verified list, AG is suggested. Differences in existing models show a link to editing.

Step by step

  1. Choose the company or explicitly select a holiday canton for the new model.
  2. Check the notices and adjust existing models yourself if needed.

Data import

HR | base › Settings › HR settings › Data import

Imports existing employees, team assignments and line managers, working time model assignments, holiday balances and opening time balances from CSV files. Each file is checked row by row and taken over as one batch completely or not at all; the batch can be undone within 24 hours.

Step by step

  1. Open Settings and choose the “Data import” section.
  2. Under “Templates”, download the template for the data type, fill it in with Excel and save it as CSV.
  3. Choose the data type, upload the file and check the column mapping.
  4. Choose “Save mapping and check” and correct the errors shown in the check preview in the file.
  5. Without errors, choose “Import … rows”; the result log shows what was created or changed.
  6. If necessary, choose “Undo” in the result log.

Deletion periods

HR | base › Settings › HR settings › Deletion periods

Sets after how long clock-in photos, access logs and email logs are deleted, and from when a personnel file is suggested for deletion after the person has left. A daily background job applies the periods; personnel files are never deleted automatically.

Step by step

  1. Open Settings and choose the “Deletion periods” section.
  2. Enter the periods in days, months or years; empty fields use the default.
  3. Save.
  4. Under “Due for deletion”, check the file of a listed person and delete the person there with “Delete person”.
