Time tracking

Time recording

HR | base › Time › Time tracking › My time

Your own time recording: clock in, record breaks and clock out, balance since the start of the year and weekly overview in the timesheet, request corrections, confirm the previous month and manage your PIN and QR badge for the tablet terminal.

Step by step

  1. Open Time tracking; the “My time” tab is preselected.
  2. In the “Time clock”, click “Clock in”, “Start break”, “End break” or “Clock out”; if required, choose “Project / site” first.
  3. Adjust missing or wrong times directly in the row of the “Timesheet”, enter a reason and click “Request correction”.
  4. For days with several blocks, use the “Individual correction” (Add, Change time, Remove).
  5. Under “Monthly confirmation”, confirm the past month with “Confirm times for …”.
  6. Under “Terminal sign-in”, set a 6-digit PIN with “Save PIN” or create a badge with “Reprint badge (PDF)” (same QR, stays valid) or “Issue new badge” (if lost; the old one becomes invalid).
  7. Change terminal PIN: under “Terminal sign-in” enter the new PIN twice and save – or tap “Change PIN” at the terminal after “My status”.
  8. Confirm “Issue new badge”; the download and badge status refresh follow only a successful PDF response. A failure shows an error; cancelling does nothing.
  9. The individual correction displays fields for the selected type: addition with date, time and clocking type; change with the affected clocking and new values; deletion with the affected clocking. A reason is always required.
  10. “Today” shows only time worked up to now; future punches and breaks do not count yet. An added clock-out replaces an unambiguous existing clock-out, including an automatic end. If several punches could apply, choose “Change”. An approved correction updates actual time, balance and warnings immediately. Automatic endings remain unresolved and do not credit time beyond the daily target. Decisions and comments appear in the bell; other channels follow your notification preferences.

Working hours

HR | base › Time › Time tracking › Working hours

Weekly table of the working hours of everyone in your data scope with plan, start, end, break, actual, balance, location/project, channel and status, plus a weekly total per person. Here you decide correction requests, approve days with Labour Act (ArG) violations or extra time, end ongoing work sessions and correct a person’s times directly in their timesheet.

Step by step

  1. Open Time tracking and choose the “Working hours” tab; choose the week and filter by status, location, project or channel.
  2. In the “Correction requests” view, compare clocking and request with “Compare” and click “Approve” or “Reject”.
  3. In the “Labour Act (ArG) violations” view, approve days with a reason; in “All times” you can tick several rows and release them with “Approve selection”.
  4. For running time (“Live”), choose “End working time now” or set a time with “At this time”.
  5. Via “Details” › “Change in timesheet”, open the person’s page and correct times with a reason using “Save correction”.
  6. The list shows 25 people per page. Search and filters are retained when changing pages; totals cover the entire filtered selection. In the current week, the labelled weekly balance includes only completed days through yesterday. Today and future plans remain visible without a daily balance.

Giving a reason when clocking

HR | base › Time › Time tracking › My time › Time clock and “Deviations when clocking”

If reasons are required in the working time model, the time clock asks for a reason when you arrive before core time, leave after it, work longer than the daily target or deviate from the planned shift – each only beyond the grace period. Without a reason nothing is clocked.

Step by step

  1. Clock in or out; if “Please give a reason” appears, choose a reason and add a text if needed.
  2. Choose “Clock with reason” – only then is the time booked.
  3. If “Give reason later” was chosen at the terminal, the deviation is listed as open under “Deviations when clocking”; give the reason there afterwards.
  4. The manager’s decision and how much time was credited are shown in the same list.

Time tracking verification photos

HR | base › Time › Time tracking › Verification photos

Verification photos from the terminal are encrypted and deleted after the retention period. Viewing only on suspicion, under the four-eyes principle: one person requests with a reason, a second approves; the photo is then visible for 24 hours. Here you decide other people’s requests and see your own.

Step by step

  1. Under “Offline cases”, enter the suspicion (reason) for a clock entry and click “Request to view photo”.
  2. A second person with the same right opens “Verification photos” and chooses “Approve” or “Decline” under “Requests to approve”.
  3. After approval, click “View photo” under “My requests”; the link is valid for 24 hours.

Locations and projects

HR | base › Time › Time tracking › Locations and projects

Records sites and locations with address, and projects and construction sites with project number, place, cost centre and validity, each with company, optional geofence (latitude, longitude, radius) and status. Projects are offered when clocking; terminals and home locations are assigned to a location.

Step by step

  1. Open Time tracking and choose the “Locations and projects” tab.
  2. Under “Sites and locations” › “New location”, enter name, address, company and optionally latitude, longitude and “Radius (m)”, then click “Create location”.
  3. Under “Projects and construction sites” › “New project”, enter project number, name, place, cost centre and validity, then click “Create project”.
  4. Open an existing entry, change it or set the “Status” to inactive, then click “Save”.

Request a time correction

HR | base › Time › Time recording › My time

Submit missing or incorrect time entries with a reason for correction.

Step by step

  1. Open Time recording › My time.
  2. Adjust the time in the timesheet or enter an individual correction, provide a reason and request the correction.

Rules and models

HR | base › Time › Time tracking › Rules and models

Manages time-entry profiles (permitted channels app, web and terminal, location when clocking in the app, zone check, mandatory project, rounding, automatic clock-out, Labour Act break, monthly confirmation, photo at the terminal) and their assignment to a company, location, department or person. It also covers target time models (weekly or annual working time, maximum working time under the ArG, cantonal public holidays, working days, holiday days, target start) and their assignment to people.

Step by step

  1. Open Time tracking and choose the “Rules and models” tab.
  2. Under “Time-entry profiles” › “New profile”, set the rules and click “Create profile”.
  3. Under “Assignments” › “Assign profile”, choose the profile, “Applies to” and “Valid from” and click “Assign”; “Check effective profile” shows which profile applies to a person.
  4. Under “Target time models” › “New model”, enter weekly target, maximum working time, canton, working days and holiday days and click “Create model”.
  5. Under “Assign model”, choose person, model and “Valid from” and click “Assign”.

Terminals and badges

HR | base › Time › Time tracking › Terminals and badges

Sets up fixed tablets as clocking terminals (create, pair with a pairing code, generate a new code, block) and manages sign-in at the terminal: generate a new PIN and QR badge per person, lift a PIN lock, revoke a badge and set the home location.

Step by step

  1. Open Time tracking and choose the “Terminals and badges” tab.
  2. Under “Add terminal”, enter name and location and click “Create terminal”; the pairing code shown is valid for 24 hours.
  3. On the tablet, open the terminal address shown at the top of the page and enter the pairing code.
  4. When replacing the device, generate a “New code” (the previous device is signed out) or take the terminal out of service with “Block”.
  5. For each terminal, choose under “Sign-in” how people sign in (name from the list, NFC badge, QR badge, employee number – always with PIN) and who may clock in there (everyone or only certain departments or home locations), then save.
  6. Under “PIN and QR badges”, choose the person and click “New PIN”, “Reprint badge (PDF)” (same QR, stays valid) or “Issue new badge” (if lost; the old one becomes invalid), “Unlock” or “Revoke badge”.
  7. Under “Set home location”, choose person and location and click “Save home location”.

Overtime account

HR | base › Time › Time tracking › Rules and models › Model › “Extra time and overtime”; Personnel file › Access › Overtime account

In the working time model you set whether accepted extra time goes to the flexitime balance or to a separate overtime account, plus the premium on payout and the factor for compensation in time off. In the personnel file you pay out from the account or compensate in time off.

Step by step

  1. Under Rules and models open the model and choose flexitime balance or overtime account under “Accepted extra time goes to”.
  2. Set the premium on payout (default 25 %, also 0 %) and compensation in time off (100 % = 1:1); optionally allow the decider to choose differently.
  3. In the personnel file, “Access” tab, enter type, hours (e.g. 2:30) and a comment under Overtime account and choose “Book”.
  4. A payout appears in the payroll handover as overtime with premium; a compensation is credited to the flexitime balance.

Deciding on deviations

HR | base › Time › Time tracking › Working hours › “Deviations” tab

In the “Deviations” tab, managers and HR decide on explained and not yet explained deviations when clocking. When deciding, you choose what happens to the time: full time, reduced to the grace period or a chosen number of minutes – and, if the model allows it, whether extra time goes to the flexitime balance or the overtime account.

Step by step

  1. Open Working hours and choose the “Deviations” tab.
  2. Read the reason; “Reason outstanding” means the person has not given one yet.
  3. Under “Time credited” choose full time, “Reduce to grace period” or “Credit a chosen number of minutes”.
  4. For extra time, choose “Flexitime balance” or “Overtime account” if offered.
  5. “Accept”, or “Reject” with a comment.

Offline cases to review

Time tracking › Working hours › notice “View cases”

Offline punches sent later (app or terminal) that could not be booked automatically or that change a day already approved – e.g. person not recognised, wrong PIN offline, month closed, device clock off. Nothing is discarded: you take the punch over as an addition or close the case with a comment.

Step by step

  1. In working hours click “View cases” in the notice.
  2. Filter by reason; “Include closed” shows closed cases.
  3. If the punch is correct: optionally enter a “Reason” and click “Take over”.
  4. Otherwise: enter a “Comment” and click “Close”.

Time approval

HR | base › Time › Time tracking › Time approval

Monthly overview per person in your data scope (target, actual, balance, overtime, absence days, deviations, confirmation). You decide the month’s open correction requests and approve the month per person; HR also closes the month here and downloads CSV exports for Excel and payroll processing.

Step by step

  1. Open Time tracking and choose the “Time approval” tab; the previous month is preselected.
  2. Under “Open correction requests”, click “Approve” or “Reject” for each request.
  3. In the list, optionally enter a “Remark” per person and click “Approve”.
  4. HR closes the month under “Closing and export (HR)” with “Close month” or reopens it with “Reopen”.
  5. Download “Hours per person (CSV)” or “Project hours (CSV)”; every export is logged.

Terms: ArG and LMV in working time models

HR | base › Time › Time tracking › Rules and models

The Labour Act (ArG) limits weekly working time to 45 hours (for example office, industry) or 50 hours (other businesses); beyond that the system checks for overtime. The Labour Act (ArG) requires breaks: 15 minutes from 5½ hours of work, 30 from 7, 60 from 9. If the clocked break is shorter, the system deducts the missing time. Weekly working time: a fixed number of hours per week. Annual working time: the hours are spread over the year, as provided by the national collective agreement (LMV) in the main construction trade.

Step by step

  1. In the working time model, choose the maximum working time for your sector.
  2. Leave “Automatically deduct missing ArG break” switched on in the clocking profile if the system should deduct missing breaks.

Month-end closing

HR | base › Time › Month-end closing

Guided month-end closing in six steps up to the handover to payroll (built-in payroll, SwissSalary or another system): 1. open absence requests of the month, 2. correction requests, 3. deviations under the Labour Act, 4. confirmations and approvals per person, 5. close the month (locks clockings, corrections and absences of the month), 6. handover of the monthly totals per person, wage type and cost centre as a CSV file or via API, each with a record.

Step by step

  1. Open Month-end closing; the previous month is selected and the arrows take you to earlier months.
  2. In steps 1 and 2, decide open requests with “Approve”. Each correction shows the type and the previous and new entry with date; “Compare in detail” opens it in team time.
  3. To reject, click “Reject”, enter the reason and choose “Reject with reason”; the person receives the reason.
  4. In step 3, approve the deviations under “Working hours” via “Check and approve the days in time tracking”.
  5. In step 4, approve people individually with “Approve” or together with “Approve all …”. Anyone not approved is marked with the reason; “Retry those not approved” retries exactly these people.
  6. In step 5, click “Close …”, then in step 6 either run payroll with the built-in payroll (“HR | base: open or create a payroll run – …”) or choose “Download monthly totals as CSV (SwissSalary format)” or “Transfer via API” (every handover is listed as a record with date, time and number of lines). For another payroll system, open “For another payroll system”: “Open payroll export” (Excel or CSV) or “Abacus – pre-entry (XML)”.

Absences

Absences

HR | base › Time › Absences › My absences

Shows your holiday account for the selected year (Entitlement, Carry-over, Taken, Planned, remaining balance) and your own absences. Here you request holidays and report illness, accident, military / civil protection service, further training or other absences; you withdraw open requests and upload missing medical certificates. The tabs distinguish Personal (My absences), Team (Requests, Calendar) and Administration (Holiday entitlement, Policies); available functions still depend on your permissions.

Step by step

  1. Open Absences and choose My absences; select the year at the top.
  2. Under “New request”, choose the “Type” and set “From” and “To” (empty To = one day only).
  3. If required, tick “First day half only” or “Last day half only” and select “Cover” and enter a “Comment”.
  4. For a few hours (e.g. a doctor’s appointment from 3 pm): choose a single day and enter “From” and “To” times under “By the hour”.
  5. Click “Submit request”; it appears in the list with the status “Requested” until your line manager or HR decides.
  6. Withdraw an open request with “Withdraw”; where “Medical certificate missing” is shown, choose the file (PDF, JPG, PNG) and click “Upload”.
  7. For illness or accident, you can optionally attach a medical certificate when reporting. The existing file checks apply. If the file fails, the report remains saved: add the certificate to the existing request, even if policy does not require it yet, without submitting the report again.
  8. Choose files with “Choose file”; file names or “No file chosen” appear alongside in the app language. Correction and header actions are at least 44 px high. “HR settings” returns from absence policies, recruitment settings and payroll settings to the overview. Badge card instructions are printed in full.
  9. If absences overlap, the message identifies the type, status and dates of your conflicting absence. For a declined request, the bell and push notification include the recorded reason; long push messages are shortened. Without a reason, the existing message remains. The app also receives the known notification type for routing.

Holidays across calendar years and advances

/[mandant]/absenzen

Holidays spanning calendar years are calculated separately using each year’s working days and public holidays. The preview and approval view show required days and the remaining balance for each year. The new year includes its entitlement and expected carry-over after the December portion under the holiday policy; HR-defined allowances remain authoritative. Confirm an advance in the portal for the displayed years with a negative balance. Existing apps receive a warning for each affected year and can still submit the request.

Requests

HR | base › Time › Absences › Requests

Lists the open absence requests of the people in your data scope, with the remaining holiday afterwards, people absent at the same time, scheduled shifts and cover. You approve or reject, record absences directly for others (approved immediately) and see the approved absences for the next 90 days. For approvers, the Absences navigation entry opens team requests directly when requests are pending. My absences always takes you back to your own absences.

Step by step

  1. Open Absences and choose the “Requests” tab; the number in brackets shows the open requests.
  2. Under “Open requests”, check warnings such as “Holiday allowance exceeded”, “Absent at the same time” or “Scheduled”.
  3. Optionally enter a remark and click “Approve” or “Reject”.
  4. For sick notes, accidents or military service, choose the “Person”, type and period under “Record absence” and click “Record absence”.
  5. Under “Approved absences (90 days)”, choose a missing medical certificate and click “File”.

Team calendar

HR | base › Time › Absences › Team calendar

Monthly view of people × days with approved absences shown as bars; weekends and public holidays are hatched. Employees see their department and only “Absent” for others; managers and HR see their area with the reason and open requests. Pending requests have a dashed blue border matching the legend.

Step by step

  1. Open Absences and choose the “Team calendar” tab.
  2. Change the month with the arrows; “Today” returns to the current month.
  3. Narrow down with “Search person” and hide or show individual absence types via the “Legend”.
  4. Click a cell: the side panel shows the absence and the published shifts for that day.
  5. Use “Request absence” to submit your own request; managers record an immediately approved absence for people in their area with “Enter absence”.

Holiday entitlements

HR | base › Time › Absences › Holiday entitlements

Shows each person’s holiday entitlement, carry-over, days taken, planned and remaining per year and lets you set entitlement and carry-over. Without a separate entry, the entitlement from the target time model applies, pro rata for joining or leaving during the year (Art. 329a CO).

Step by step

  1. Open Absences and choose the “Holiday entitlements” tab.
  2. Choose the year at the top (previous, current or next year).
  3. In the person’s row, enter the “Entitlement” and, if needed, the “Carry-over” in days.
  4. Click “Save” in the same row; the remaining balance is recalculated.

Policies

HR | base › Time › Absences › Policies

Defines for each absence type whether half days are allowed, from which day a medical certificate is required (illness, accident) and whether cover is mandatory. For holidays you also set the maximum number of days carried over into the next year and after how many months the carry-over expires.

Step by step

  1. Open Absences and choose the “Policies” tab.
  2. In the row for the absence type, tick or untick “Half days” and “Cover”.
  3. For illness or accident, enter “Medical certificate from day” (1 to 30).
  4. For holidays, set “Carry-over max. days” (0 to 60, empty = unlimited) and “Expiry after months” (1 to 12, empty = never).
  5. Click “Save” in the same row.

Early support alerts

HR | base › Time › Absences › “Early support alerts”

Helps HR and direct line managers spot a need for support early – for employee care and case management, not for performance assessment. Only days and frequency of approved sickness and accident absences in the last 12 months are analysed; people with an alert are listed alphabetically, without ranking.

Step by step

  1. Open Absences and choose “Early support alerts”.
  2. Under “People with an alert”, look at days, episodes and short absences, the threshold reached and the trend.
  3. As a direct line manager, send a request to the HR team with “Inform HR”.
  4. Under “Aggregated comparison”, look at the average per department and company.
  5. With the “Settings” right, set the thresholds and optionally a reference value with its source under “Thresholds and reference value for this tenant”, then “Save”.

Shift planning

Shift planning

HR | base › Time › Shift planning

Weekly planner for shifts in your data scope, by work location or by person. You create shifts (also as a series or draft), assign people while rest period, weekly limit, absences, availability, job title and qualifications are checked, and publish the schedule to the people assigned. Locations offered to managers follow the authorised person scope, its site and sector assignments and authorised shifts. Person selection checks employment start and end dates for each shift, including the following day for night shifts; after leaving, a person no longer counts towards staffing or sector analysis. An app dialog asks for confirmation before deleting a shift.

Step by step

  1. Open Shift planning, choose the week and the “Work locations” or “People” view; filter by company, department or work location.
  2. With “Create shift” or “+” in the grid, enter name, work location, company, times, break and “People required”; optionally “Repetition” or “Save as draft”.
  3. Click a shift and choose “Assign” under “Assignable people”, or drag a person onto the shift; the traffic light shows “Can be assigned”, “Can be assigned with note” or “Blocked”. If you drag a shift into an area at another site, choose or confirm the new work location.
  4. Via “More actions”, load a weekly template, copy a week, save the week as a template or create a work location.
  5. Use “Publish (…)” to release all drafts of the week; the people assigned are notified.
  6. Under “Swap requests”, approve open swap requests with a “Replacement” or reject them.
  7. “Not assigned” identifies the person, date and blocking reason. “Assigned … note” refers to an assignment that was saved. Review the reasons before trying another assignment.

Plan by area

HR | base › Time › Shift planning › “Areas” view

Plans shifts by areas of a site, e.g. till, pool and restaurant. People belong to one or more areas, may take on other roles and can be scheduled several times on the same day (pool in the morning, restaurant in the afternoon). The requirement per area shows where people are missing.

Step by step

  1. Under “More actions” › “Areas and roles”, create areas per site and assign work locations to their site.
  2. In the “People” part, tick each person’s areas and enter other permitted roles separated by commas.
  3. Enter the requirement per area: weekdays, from–to, number of people and optionally the role.
  4. Choose the “Areas” view and create a shift with “+” in an area row; drag a shift into another row to change its area.
  5. Below each day, “Covered …/… h” shows whether the requirement is met; gaps are listed in the tooltip with time and missing number.
  6. Use “Month” to open the month view: people or areas × days with shift abbreviation and area colour; “Print / PDF” prints the month in landscape.

Schedule requests

HR | base › Time › Plan requests

Shows requests from the employee app that are waiting for approval by planning: takeovers of open shifts and swap requests between two people, each with the shift and reason. On approval, HR | base checks rest period, weekly limit, availability and job title again and adjusts the schedule.

Step by step

  1. Open Plan requests.
  2. Check the type (“Takeover” or “Swap”), the shifts concerned and the reason.
  3. Click “Approve” to adjust the schedule, or “Reject”.

Report by area

HR | base › Time › Shift planning › More actions › Report by area

Shows per month and area the shifts, planned and needed hours, open slots, requirement and coverage, loans and the clocked hours of the assigned people within their shifts.

Step by step

  1. In shift planning, open “More actions” › “Report by area”.
  2. Choose the month with “Previous month” and “Next month”.
  3. Open slots and coverage below 100 % show where people are missing; “To the plan” opens the area view.
