Documents & forms
Documents
Documents
QMS | base › Documents
Shows the controlled quality documents. Everyone sees the valid editions and acknowledges reading; authorised people submit drafts for review, review, approve with a valid-from date, or withdraw. Versions with control workflow, read status and use in processes are visible in the document.
Step by step
- Open “Documents” and filter by search or type.
- Open the document; if reading is required, press “Read and understood”.
- As a document controller: “Submit for review”, then a second person reviews and approves (“Reviewed – for approval”, “Approve” with “Valid from”).
- To make a change, press “Start new edition” and state the reason for change.
Create and edit a document
QMS | base › Documents › New document
Creates a controlled document as a draft and maintains content and master data: type, number, owner, periodic review, process, distribution (everyone, companies, departments, job titles, people), read requirement and standard clauses.
Step by step
- In “Documents”, press “New document”.
- Choose the title, type and distribution and press “Create and write draft”.
- Write the content, format the selection with “Heading”, “List” or “Bold”, check it with “Preview” and press “Save draft”.
- After saving, “Submit for review” appears below; it sends the draft for review and opens the document page.
Import or create a document with AI
QMS | base › Documents › Import with AI
Import: pasted text or a text file is classified into clauses with your own short titles and clause numbers, each clause with a maturity level from 0 to 4 and a justification, plus a list of gaps. Interview: guided questions per document type; the answers produce a document draft. Both can be adopted as a new document with the status Draft.
Step by step
- Under Documents, choose “Import with AI”.
- For the import, paste text or choose a .txt file and click “Classify and assess”.
- For the interview, choose the document type, answer the questions (also by dictation) and click “Create draft”.
- Check the title and type and choose “Adopt as document draft”.
- Every AI draft shows under “Origin of this draft” the time, language model and your input; “Generate again” creates a new version with changed details and shows the differences from the previous one.
Site variants and visibility of documents
QMS | base › Documents › Document › “Variants” and “Visibility” sidebar
Creates a variant of a main document for a site or company (a separate draft document with the content of the valid edition). The main document lists its variants; the variant shows a notice as soon as the main document has a newer approval. With “Distribution only”, only people in the distribution, those responsible and managers see the document (list, view, API).
Step by step
- Open the main document.
- Under “Variants”, enter the site or company and click “Create variant”.
- Adapt the variant’s draft and submit it for review and approval like any document.
- Under “Visibility”, choose “Distribution only” if needed (right “QMS: document control”, level “Manage”).
Read a document aloud
QMS | base › Documents › Document
Reads the valid edition of a document aloud with the browser’s speech output, in the language of the user interface.
Step by step
- Open the document.
- In the header of the valid edition, click “Read aloud”; clicking again stops reading.
Explain changes
QMS | base › Documents › Open a document › “What has changed?”
For a controlled document, explains what is new, removed or different in the displayed version compared with the previous one – briefly summarised by the AI, with the differences calculated by KMU | base itself. Helpful before confirming that you have read it; “Comprehension questions with AI” › “Generate questions” creates matching questions.
Step by step
- Open the document (if needed a specific version from the list of versions).
- Under “What has changed?”, click “Explain changes”.
- Read the summary and check it against the document.
Comprehension check and training for mandatory reading
QMS | base › Day to day › Documents › Open document
A document can require a quiz (comprehension check) and training before it takes effect. The quiz then appears before “Read”; the read acknowledgement is only possible once the quiz is passed and the training completed. On approval, the people on the distribution list are registered for the e-learning training.
Step by step
- In the document’s master data, choose “Comprehension check (quiz)” and “Training before the document takes effect” and save.
- Readers answer the quiz on the document and choose “Submit answers”.
- If the training is missing, the notice leads to the training.
- Then confirm “Read”.
Comprehension questions with AI
QMS | base › Documents › Document › Comprehension questions with AI
Generates questions with answer options from the displayed edition of a document. Questions, answers and the pass mark can be checked and changed; “Set as comprehension check” saves the quiz and requires it before the read acknowledgement from then on.
Step by step
- Open the document and choose the number in the “Comprehension questions with AI” section.
- Click “Generate questions”.
- Check the questions, tick the correct answers and choose “Set as comprehension check”.
- Every AI draft shows under “Origin of this draft” the time, language model and your input; “Generate again” creates a new version with changed details and shows the differences from the previous one.
Forms

- Under “Actions”, choose the condition (field and comparison value) and the consequence, and save.
Create a form with AI
QMS | base › Forms › Create with AI
From a description, the AI suggests the fields of a form (text, number, date, selection, yes/no). The suggestion is checked against the form rules and opens the form designer prefilled; saving only happens there.
Step by step
- Under Forms, choose “Create with AI”.
- Describe what should be captured and click “Suggest fields”.
- In the designer, check the fields, add actions and save.
- Every AI draft shows under “Origin of this draft” the time, language model and your input; “Generate again” creates a new version with changed details and shows the differences from the previous one.

Wiki, glossary & translations
Wiki (organisational knowledge)
QMS | base › Operations and records › More › Wiki and glossary

Pages can be commented on and given reactions. Knowledge articles from closed reports show where they came from.
Step by step
- Find a page using the search and the status filter; the list is grouped by category.
- Choose “New page” and enter the title, category and content (separate paragraphs with a blank line).
- On the page, choose “Submit for review”.
- Managers approve, reject (back to draft) or archive.
- Comment or react at the bottom.

- “Export as CSV” downloads the whole glossary.
- Managers enter a new term on the right (synonyms separated by commas) or edit or delete an existing one.

Translations with approval
QMS | base › Translations
Work list of translations of document editions, processes and wiki pages in German, French, Italian and English. Anyone reading a document sees the approved translation in their language with a notice and can show the original.
Step by step
- Open “Translations”, choose the content and language and click “Start”.
- Enter the title and text next to the source and save.
- Click “Submit for review”.
- A second person reviews and chooses “Approve” or “Return” with a reason.
- Bring outdated translations up to the current edition with “Rework”.
The next step starts with a conversation.
