Overview

Quality management (overview)

QMS | base › Overview

Shows what is pending in quality management: outstanding read acknowledgements, documents to review or approve, periodic reviews due, quality objectives with traffic light and the ISO 9001 coverage level.

Step by step

  1. Open QMS | base using “Switch module”.
  2. Tap the tiles at the top to go to read acknowledgements, processes, documents or the standard mapping.
  3. In “Document control”, open a document to review or approve it.

Key figures at a glance

QMS | base › Overview › Key figures

Shows your quality objectives as tiles with actual, target, traffic light, trend and history, plus system figures such as open and overdue actions. You choose the selection and order yourself; without your own selection, the default for your role applies.

Step by step

  1. Under «Adjust tiles», tick key figures and objectives.
  2. Set the order with the arrows and save.
  3. Click a tile to open the objective or area.

Path to certification

QMS | base › Overview › Path to certification

Guides you in nine phases to the certification audit (e.g. ISO 9001): foundations, policy and objectives, processes, documents, risks, operations, internal audit, management review, certification audit. Progress comes from your data; due dates are spread between start and target date. Plus the list of standard chapters without evidence and the audit package as ZIP.

Step by step

  1. Save start and target date of the certification audit, certification body and responsible person.
  2. For the phase marked “Now”, click “Open” or click an open point directly; it leads to the right place, and “Back to certification plan” returns here.
  3. Under “Standard chapters without evidence”, close the gaps with “Create evidence” or “Link in the standard comparison”.
  4. Before the audit, download the audit package or give the certification body access.

Access for the certification body

QMS | base › Overview › Path to certification › Access for the certification body

Gives an auditor time-limited read access without an account: only the selected areas (valid documents, processes, objectives, risks, internal audits, actions, management review, standard comparison, audit package). Every access is logged; access can be blocked at any time.

Step by step

  1. Choose name, certification body, areas and validity (1–90 days), then “Create access”.
  2. Share the link securely right away – it is visible only now.
  3. Under “Recent accesses”, see what was viewed; “Block” if needed.

To read

QMS | base › To read

Lists valid quality documents that have been distributed to you and need your read acknowledgement.

Step by step

  1. Open “To read”.
  2. Choose a document and read it.
  3. Press “Read and understood”.

News and events

QMS | base › News

Shows announcements and events to everyone, with comments and reactions. Managers publish new announcements or events (with start and location); everyone is notified.

Step by step

  1. Open an announcement to read it, comment on it or react to it.
  2. Managers choose the type on the right, enter the title and text (for events, the start and location) and “Publish”.
  3. The author or managers can delete an announcement.

Search in quality management

QMS | base › Search

Searches documents, processes, wiki, glossary, reports, actions, risks, training and suppliers for all the terms entered. Only what the person is allowed to see elsewhere too is found: for documents the valid edition (drafts only with a control right), for reports according to their confidentiality. With “AI answer”, the AI answers the question only from the results found and cites the sources.

Step by step

  1. Enter terms and click “Search”; optionally choose a type.
  2. Use the filters at the top to show the results of one type.
  3. Open a result or choose “AI answer”: “Evidence used” is the content the answer cites; “Content searched” shows what the AI received as a basis.

Setup

QMS settings

QMS | base › QMS settings

Loads the starter pack (clause structure and templates written in our own words) and controls the quality management lead, quality policy, four-eyes principle and the interval of reminders about outstanding read acknowledgements; shows the connection to the archive.

Step by step

  1. Open “QMS settings”.
  2. Press “Load starter pack” (with or without templates); links to “Newly created templates” and “Existing templates” then appear.
  3. Use “Adapt the first draft” to edit the first new draft straight away; continue via “Clauses and evidence” and “Adapt context and stakeholders”.
  4. Choose the quality management lead and quality policy, set the four-eyes principle and reminder, and save.

Multi-person approval (six or eight eyes)

QMS | base › QMS settings › Multi-person approval per document type

Sets per document type how many people control a version: 4 eyes (the author neither reviews nor approves), 6 eyes (in addition, the reviewer does not approve) or 8 eyes (in addition, two approvals by two different people). With 8 eyes, the first approval is recorded as a partial approval; the version stays in approval until a second person approves it.

Step by step

  1. Switch on the four-eyes principle in the QMS settings.
  2. Under “Multi-person approval per document type”, choose 4, 6 or 8 eyes per type and save.
  3. In the document, the control panel shows how many approvals have been given and who gave the first.

Team rooms

QMS | base › Team rooms

Protected areas for teams: only members see the room’s members, news and wiki pages. Members publish news in the room and create wiki pages there.

Step by step

  1. Open a team room.
  2. Under “Room news”, publish a new announcement.
  3. Under “Room wiki pages”, create a page with “New page”.
  4. Managers create rooms (name, description, members) and edit them.

Data & interfaces

REST-API and webhooks

QMS | base › Management system › More › Data and interfaces › API and webhooks

Shows the read-only API endpoints /api/v1/qms/dokumente, /prozesse, /massnahmen and /meldungen/alle (sign-in with the app’s Bearer-Token, same rights and visibility as in the portal). Webhooks report the events “Document edition approved”, “Report recorded”, “Action completed” and “Incident recorded” via HTTPS with an HMAC-SHA256 signature; the delivery log shows status, attempts and HTTP response.

Step by step

  1. Open “Data” › “API and webhooks”.
  2. Choose the target URL (https) and events and click “Create webhook”.
  3. Store the secret shown in the target system immediately – it is shown only once.
  4. Send a test delivery with “Test”; webhooks can be paused or deleted.
  5. Choose “Renew secret” and confirm to replace the current secret immediately. Then save the new value, displayed only once, in the receiving system.

Word bulk import

QMS | base › Management system › More › Data and interfaces › Import

Reads several Word files (.docx) and adopts paragraphs, headings and lists as plain text. After the preview, each file becomes a draft document with the chosen document type and responsible person, distribution to everyone and mandatory reading.

Step by step

  1. Open “Data” › “Import”.
  2. Under “Word bulk import”, choose the files and click “Create preview”.
  3. Check the text of each file and choose the document type and responsibility.
  4. Click “Create drafts”; the drafts then go through the normal control workflow.

Bulk changes and transfer of responsibilities

QMS | base › Management system › More › Data and interfaces › Bulk changes

When someone leaves or changes role, transfers their open QMS responsibilities to another person (processes, documents, open actions and reports, risks, controls, objectives, reporting channels, roles, ongoing audits, decisions, records, QM lead). Replaces text literally in drafts (document editions and wiki pages) after a preview, and changes the review interval, responsibility or distribution for selected documents in bulk.

Step by step

  1. For a transfer, choose the currently responsible person and click “Count responsibilities”.
  2. Choose the types, select the new person and click “Transfer”.
  3. For a text replacement, enter the search and replacement text, click “Preview”, select the occurrences and replace.
  4. For the bulk update, tick the documents, activate the details to change and click “Apply changes”.

Snapshot for external bodies and business continuity

QMS | base › Management system › More › Data and interfaces › Snapshot and export

Creates a ZIP file with all valid documents (text and PDF), active processes, quality objectives and registers (risks and opportunities, controls, suppliers, roles, context). A manifest contains the SHA-256 checksum of each file; the list shows the time and checksum of the whole archive. The file is stored encrypted.

Step by step

  1. Open “Data”.
  2. Optionally enter a purpose and click “Create snapshot”.
  3. In the list, choose “Download” or create a time-limited link under “Share link for external parties”.
  4. Delete snapshots that are no longer needed; their share links are revoked at the same time.

Full export of all QMS data

QMS | base › Management system › More › Data and interfaces › Snapshot and export

Downloads all QMS data of your own tenant as a ZIP: one JSON file per QMS table and the files attached to reports. Secrets such as webhook keys and token checksums are redacted. Every export is recorded in the log.

Step by step

  1. Open “Data”.
  2. In the “Full export” section, click “Download full export”.

Data portability in Git format

QMS | base › Management system › More › Data and interfaces › Snapshot and export or Import

Exports documents (latest edition) and processes as text files (dokumente/[nummer].md, prozesse/[nummer].md) with the header data id, version, status and sha256. When the same ZIP file is imported again, a preview shows what is unchanged, changed or in conflict. Changed documents are created as a new draft edition (an open draft is updated); changed processes are only adopted while they are drafts. If a document has changed in the system since the export, a conflict is reported instead of overwriting.

Step by step

  1. Under “Snapshot and export”, click “Download Git export”.
  2. Edit and version the files in your own Git repository; leave the header data unchanged.
  3. Under “Import”, upload the ZIP file and click “Create preview”.
  4. Check the preview and choose “Adopt changes” or “Discard”.

Share links (targeted sharing)

QMS | base › Management system › More › Data and interfaces › Share links (for documents also in the document under “Share”)

Creates a link to the valid edition of a document, an active process or a snapshot. External parties open it without signing in; the page is not indexed by search engines. Each link is valid for 1 to 90 days, counts accesses and can be revoked at any time.

Step by step

  1. Open “Data” › “Share links” or use the “Share” sidebar in the document.
  2. Choose the content, validity in days and optionally the recipient, and click “Create link”.
  3. Copy the link shown immediately – it is shown only once.
  4. “Revoke” makes the link invalid immediately.
