Training
Training (my training and catalogue)
QMS | base › Training
Shows your attendance with status and progress, the outstanding mandatory training for your job title and the training catalogue. Open a training to register for a session, withdraw, give feedback or, after completion, download the certificate as a PDF.
Step by step
- Under “My training” you see your attendance and outstanding mandatory training.
- In the “Catalogue” tab, open a training.
- For a session, choose “Register” (“Request” for training that needs approval). If the session is full, you go on the waiting list and move up automatically.
- After attending, rate the training (1 to 5) and, after completion, download the certificate.
- Managers create training with “New training”, enter sessions, approve requests, update attendance, complete training, assess effectiveness and register people.
Create or edit training
QMS | base › Training › Catalogue › “New training”, or “Edit” in a training
Creates a training in the catalogue or changes it: title, description, type (in person, online or e-learning), duration, qualification in the competence register with validity, quiz, mandatory status by job title and whether registration needs approval. For e-learning, the lessons are also entered here.
Step by step
- In the catalogue, choose “New training”, or “Edit” in an existing training.
- Enter the title, description, type and duration (minutes).
- Optionally choose a qualification in the competence register and enter the validity in months (empty = unlimited).
- Optionally assign a quiz: completion is then only possible once the quiz has been passed.
- Under “Mandatory for job titles”, enter one job title per line, as recorded in the organisation.
- For e-learning, enter the lessons in order (text, video address, handout from document control).
- Set whether registration needs approval and whether the training is offered in the catalogue, then “Create training” or “Save”.
Training plan
QMS | base › Training › Training plan
Lists every mandatory training with the target (people in the job titles concerned) and the people who have not yet completed it. With “Register” you register a person directly; for classroom and online training, for the chosen session. People whose completion has expired are listed again, marked “Certificate expired”.
Step by step
- Open the training plan.
- For an outstanding person (for classroom training, choose the session first) press “Register”.
- The person receives a notification.
Qualification matrix and requirements by job title
QMS | base › Training › Qualification matrix
Compares people against qualifications: met (green), expiring (yellow), expired or missing (red), additionally held (grey), each with “valid until”. Below, you define which qualifications a job title requires (mandatory) or should have (recommended); this gives the fulfilment rate.
Step by step
- Filter by job title at the top and choose “Filter”.
- Read the colours: red shows missing or expired mandatory qualifications.
- Under “Requirements by job title”, choose the job title and qualification, set “Mandatory” and choose “Add requirement”.
- Delete requirements that are no longer needed with “Remove”.
E-learning and quiz
QMS | base › Training › Open training › E-learning
For e-learning training you work through the lessons in order (text, video, handout from document control) and tick off each lesson. If the training has a quiz, you take it after all the lessons; once the quiz is passed, the training is complete.
Step by step
- In the catalogue, open the e-learning training and choose “Start e-learning”.
- Choose a lesson on the left, read it or watch the video and press “Lesson done”.
- Continue with “Next lesson”; progress is shown at the top.
- After the last lesson the quiz appears: tick all the correct answers and choose “Submit answers”.
- Not passed? The quiz can be taken again.
Create and edit a quiz
QMS | base › Training › Quiz
Manages quizzes for training and for the comprehension check on mandatory reading: questions, answers, correct answers (ticks) and the pass mark as a percentage.
Step by step
- Enter the title and “Pass mark (%)”.
- For each question, enter the text and at least two answers and tick the correct ones.
- Choose “Create quiz” or “Save”.
- Select the quiz for a training or a document.
