Step by step

  1. Open “Policy and objectives”.
  2. Tap an objective to see the trend and actions.
  3. As the responsible person, record an actual value with its reference date or tick off an action.

New quality objective

QMS | base › Policy and objectives › New objective

Creates a quality objective with metric, unit, direction, starting value and target value, tolerance for the amber traffic light, due date, owner, process, actions and standard clauses.

Step by step

  1. In “Policy and objectives”, press “New objective”.
  2. Enter the objective, metric and target value; choose the direction “higher is better” or “lower is better”.
  3. Add the responsible person and actions, then save.

Context

QMS | base › Management system › Context and stakeholders

Records the scope, products and services, sites, quality culture, internal and external issues (for example climate change or digital technologies) with effect and relevance, and interested parties with their expectations and monitoring.

Step by step

  1. Open “Context”.
  2. Enter the scope and save.
  3. Under “Add issue” or “Add party”, add entries; change existing ones using “Edit”.

Responsibilities

Step by step

  1. Open “Responsibilities”.
  2. Under “Add role”, record a role with its tasks and authorities.
  3. In the matrix, see which role is accountable (A) or carries out the work (R) in which process.

Standards mapping

ISO 9001 standard mapping

QMS | base › Standard mapping

Shows for each clause (number and own short title, without standard text) the evidence from processes, documents, objectives, context and roles, the coverage (covered, partly, open, not applicable) and the overall coverage level and the level per main clause.

Step by step

  1. Open “Standard mapping”.
  2. Read the coverage level in the tile at the top; tap a main clause to jump to it.
  3. If authorised, open “Assess” for a clause, record the assessment or exclusion with a reason and save.

Standard mapping per standard

QMS | base › Standard mapping

Shows the standard mapping for each active standard or active own standard: clauses with number and our own short title, evidence, coverage per clause, overall coverage level and coverage per main clause. Without a choice, ISO 9001 applies.

Step by step

  1. Open “Standard mapping”.
  2. At the top, choose the standard (e.g. ISO 14001, ISO 45001, ISO 27001, ISO 21001, EFQM or an own standard).
  3. As an authorised person, open “Assess” for a clause and save the assessment, exclusion with justification and note.

Manage standards and frameworks

QMS | base › Standard mapping › Standards and frameworks

Defines which standards are tracked in the standard mapping (always ISO 9001, plus ISO 14001, ISO 45001, ISO 27001, ISO 21001 and EFQM) and creates own standards with a short name and name.

Step by step

  1. In the standard mapping, open “Standards and frameworks”.
  2. Under “Active standards”, tick the standards you want and save; on first activation the clause structure is created.
  3. Under “New standard”, enter the short name and name and choose “Create standard”.

Maintain an own standard

QMS | base › Standard mapping › Standards and frameworks › Standard

Maintains the clauses of an own standard: create, change number and short title, reorder, delete and import as a CSV file (Number;Title). Also the short name, name, description and active flag.

Step by step

  1. In “Standards and frameworks”, tap the short name of the standard.
  2. Under “Create clause”, enter the number and short title, or under “CSV import” choose a file or paste lines and choose “Import”.
  3. Set the order with “Move up” and “Move down”; change number and title via “Edit”.

Multi-standard matrix

QMS | base › Standard mapping › Multi-standard matrix

Places the active standards with a common harmonised structure side by side: for each clause number the coverage (sub-clauses) or the coverage level (main clauses). Standards with their own structure appear with their overall coverage level. Authorised people transfer evidence to clauses with the same numbers in another standard.

Step by step

  1. In the standard mapping, open “Multi-standard matrix”.
  2. Tap a column header to open the standard mapping for that standard.
  3. Under “Transfer evidence”, choose the source and target standard, tap “Preview”, check the number and confirm the transfer.

Migration ISO 9001 2015 → 2026

QMS | base › Standard mapping › Migration 2015 → 2026

Checklist for the move to the 2026 edition: revision topics in our own words with status (open, in progress, done), note and link to a document, process or action, progress in per cent, end of the transition period and a list of documents and processes whose text still refers to the 2015 edition of ISO 9001.

Step by step

  1. In the ISO 9001 standard mapping, open “Migration 2015 → 2026”.
  2. As an authorised person, open “Edit” for a topic and save the status, note and link.
  3. Under “End of the transition period”, enter the date given by the certification body.
  4. In “References to the 2015 edition”, open the documents and processes found and update them.

Evidence report for the certification body

QMS | base › Standard mapping › Evidence report (PDF)

Creates a PDF “Evidence per clause” for the selected standard: coverage level, for each clause the applicability with justification, assessment, evidence with type and status (valid or active) and gaps, and at the end the list of open gaps.

Step by step

  1. In the standard mapping, choose the standard.
  2. Tap “Evidence report (PDF)”; the file is downloaded.

Registers

Registers (overview)

QMS | base › Registers

Shows the registers of the integrated management system in tabs: register of legal and other requirements, assets and protection needs, environmental aspects, hazard assessment and the status of the Statement of Applicability.

Step by step

  1. Choose the tab at the top (Requirements, Assets, Environmental aspects, Hazards, Applicability).
  2. Narrow down by area, type or category with the filter buttons.
  3. Open an entry to see details, links and actions.
  4. With the right “QMS: registers” (level “Manage”), create a new entry via “Add …” at the bottom of the tab.

Requirement subject to periodic review

QMS | base › Registers › Requirements › Entry

Shows a legal or other requirement (act, ordinance, standard, contract, official requirement, customer or internal rule) with its reference, your own summary, applicability, compliance, review interval and linked processes, documents and environmental aspects. Assessing compliance sets the next review to the assessment date plus the review interval.

Step by step

  1. Under “Assess compliance”, choose the result (met, partly, not met) and the date.
  2. For “partly met” or “not met”, record the findings.
  3. “Save assessment” sets the next review automatically.
  4. Use “Edit” to change details or archive the requirement.

Statement of Applicability (ISO 27001)

QMS | base › Registers › Applicability

Lists all information security control numbers with our own short title. For each control: applicable or not (with justification), implementation status, evidence, documents and responsibility. “Create list” creates all missing numbers once; the export produces an Excel file.

Step by step

  1. The first time, choose “Create list”.
  2. In the row, open “Edit” and enter applicability, justification, implementation, evidence and responsibility.
  3. Download the Statement of Applicability with “Export to Excel”.

Asset and protection need

QMS | base › Registers › Assets › Entry

Shows an asset (information, application, system, device, room, service provider, person) with confidentiality, integrity and availability (normal, high, very high). The protection need is the highest of the three values. Personal data and sensitive personal data are flagged; links to risks, processes and incidents are visible.

Step by step

  1. Under “Edit”, choose the three protection values; the protection need follows from them.
  2. Tick personal data and, if needed, “sensitive”.
  3. Link risks and processes in the multiple selection (hold down Ctrl or Cmd).

Hazard assessment (ISO 45001)

QMS | base › Registers › Hazards › Entry

Shows a hazard by work area and activity with category, likelihood and severity of harm (each 1–5). The risk is likelihood × severity, with the traffic light of the risk matrix from the QMS settings. Protective measures are ordered by priority (substitute, technical, organisational, personal); the residual risk must not be higher than the initial risk.

Step by step

  1. Choose the likelihood and severity of harm.
  2. Enter the protective measures per level, one per line.
  3. Rate the residual likelihood and residual severity after the measures.
  4. Set the date of the next assessment and create actions if needed.

Environmental aspect (ISO 14001)

QMS | base › Registers › Environmental aspects › Entry

Shows an environmental aspect with activity, impact, condition (normal, abnormal, emergency), life-cycle stage, frequency and severity. An aspect is significant if frequency × severity is at least 12, it is legally relevant or it has a severity of 4 or more in an emergency. Actions and linked requirements are visible.

Step by step

  1. Choose frequency and severity from 1 to 5; the “significant” rating is set automatically.
  2. Link requirements from the legal register.
  3. Under “Actions”, create an action with a responsible person and a due date.
